Korax Systems ("we", "us", "our") operates koraxsystems.co.uk. We provide bespoke automation software and desktop tools for UK small businesses.

What data we collect

We collect only the data needed to operate this website and respond to enquiries.

Contact form data: when you submit our enquiry form, we receive:

• First name
• Company name (optional)
• Email address
• Phone number
• Service interest (dropdown selection)
• Your message

Analytics data: Google Analytics 4 loads on every visit. If you allow analytics cookies, GA4 sets cookies and may collect usage data such as pages visited, approximate location (country/city level), device type, browser, and referral source. If you choose essential only or turn analytics off in preferences, we do not set analytics cookies, but Google Analytics still receives limited cookieless measurement data (including page views, approximate location, device and browser, and when you submit our contact form, a form-submission event). This can include your IP address. We do not use analytics for advertising or profiling.

Cookie consent preference: we store your choice in your browser's local storage under korax_cookie_consent (this is not a cookie) so we do not ask you on every visit. You can accept all, choose essential only, or set preferences.

Why we use your data and our lawful basis

Under UK GDPR, we rely on the following lawful bases:

• Legitimate interests (Article 6(1)(f)): to respond to your enquiry, assess how we can help, and follow up about your project. This is not marketing consent; we contact you only in connection with the enquiry you submitted. The same basis applies to limited cookieless website measurement via Google Analytics when you have not accepted analytics cookies (or after you reject them), so we can understand aggregate use of the site without storing analytics cookies on your device.
• Consent (Article 6(1)(a)): for analytics cookies. Google Analytics sets these cookies only if you allow them (accept all or enable analytics in preferences).

We do not sell your personal data. We do not use your enquiry details for unrelated marketing.

Third party processors

We use trusted third parties to deliver specific services. They process data only on our instructions and for the purposes described below.

• Formspree (formspree.io): receives and forwards contact form submissions to us. Form data is transmitted to Formspree's servers when you submit the form. See Formspree's privacy policy.
• Google Analytics 4 (Google): loads on every visit; analytics cookies are set only if you allow them (accept all or enable analytics in preferences). See Google's privacy policy.
• GitHub Pages: hosts this website. Server logs may include IP address and browser type as part of normal web hosting.

Fonts on this site are self hosted on our domain. We do not load fonts from Google Fonts or other third party font CDNs.

Cookies and local storage

This site uses minimal storage:

• Consent preference (local storage, not a cookie): key: korax_cookie_consent. Stores accepted or rejected. Remembers your cookie choice in local storage. No expiry until you clear browser data.
• Google Analytics cookies (consent only): if you allow analytics, GA4 may set cookies such as _ga and _ga_* to distinguish users and sessions. These are third party analytics cookies governed by Google's policies.

You can change your choice at any time using the "Cookie preferences" link in the footer. Withdrawing consent or choosing essential only stops analytics cookies and removes the Google Analytics cookies from your browser, but does not stop the limited cookieless measurement described above.

Analytics cookies are not set unless you allow them via accept all or preferences. Cookieless measurement may still occur as described above.

How long we keep your data

Enquiry data received via the contact form is retained for 12 months from last contact unless a longer period is required for legal, contractual, or accounting purposes.

Analytics data retention is set to 14 months.

Cookie consent preferences persist in local storage until you clear them.

International transfers

Formspree and Google may process data outside the UK. Data from all visitors may be processed by Google outside the UK when Google Analytics runs. Where this occurs, we rely on appropriate safeguards such as UK adequacy regulations, Standard Contractual Clauses, or the provider's UK/EU data protection commitments. Contact us if you need more detail on transfers relevant to your enquiry.

Your rights under UK GDPR

If you are in the UK, you have the right to:

• Access the personal data we hold about you
• Request correction of inaccurate data
• Request erasure in certain circumstances
• Restrict or object to processing in certain circumstances
• Data portability where applicable
• Withdraw consent for analytics cookies at any time using the "Cookie preferences" link in the footer (or when the banner is shown). Withdrawing consent or choosing essential only stops analytics cookies and removes the Google Analytics cookies from your browser, but does not stop the limited cookieless measurement described above.

You also have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.

Children

This website and our services are aimed at businesses. We do not knowingly collect personal data from anyone under 18.

Changes to this policy

We may update this policy when our practices or legal requirements change. The "Last updated" date at the top will reflect the latest version. Material changes will be communicated where appropriate.
